Sales-to-delivery handoff ✨

Protect client contact information after the sales handoff

Sales can establish the original relationship. When the account moves to delivery, account management, or operations, downstream teams can use a protected identity instead of receiving the raw client address.

This is a least-privilege communication workflow—not a claim that one email control can prevent every form of customer-data exposure.

Protect the contact at the handoff boundary

Change who can communicate when responsibility for the account changes.

Step 1

Before handoff

Authorized sales users work with the real contact when their role requires it and keep that record in the approved CRM or source system.

Step 2

At handoff

A CRM event, workflow, or custom integration calls ProxiedMail and generates a protected client identity for the downstream owner or team.

Step 3

After handoff

Account, delivery, or operations employees communicate through the controlled address. Access can later be revoked or reassigned.

Your client keeps using email exactly as usual

In the standard employee-to-client configuration, the client receives the message from the authorized company employee identity and replies normally—as if the employee had emailed them directly. ProxiedMail keeps the protected identity and routing in the company’s internal workflow. The exact sender-domain configuration is confirmed during deployment.

Ownership changes without client disruption

Move the authorization, not the client

When one account manager replaces another, an administrator can remove the previous employee and authorize the new owner for the existing protected client identity. The external client does not need to install software or move to another channel.

The company retains control of the protected identity throughout the account lifecycle.

Business benefits

Reduce unnecessary copies after the deal closes

Least-privilege handoff

Give the downstream team communication access without automatically sharing the underlying contact.

Fewer raw-data copies

Reduce the number of inboxes, notes, and operational workflows that need the client's real address.

Centralized communication control

Manage protected routing around the company's account ownership model.

Employee offboarding

Remove authorization when an employee leaves while preserving the company's client identity.

Account reassignment

Move access to a new owner without changing the client's routine.

Normal email workflow

Let authorized teams continue using familiar company email clients.

Where the handoff matters

Apply protection where relationship ownership separates from delivery

Not every company needs this boundary. It is most useful when sales holds the original relationship and other teams need ongoing communication access.

Sales to account management

Give the assigned manager controlled communication access at Closed Won.

Sales to delivery

Let specialists coordinate work without opening the whole client contact database.

Delivery to support

Reassign ongoing communication as the engagement moves into support.

Temporary project staffing

Authorize a project team for its working period, then remove access.

An important limitation

Email protection works best as part of your broader access-control strategy

If users can still view or export the real address from the CRM, spreadsheets, documents, historical messages, phone records, or another system, email masking alone cannot prevent that exposure. Align CRM permissions, exports, retention, and offboarding with the protected email workflow.

  • Restrict the source property as well as the email route.
  • Review historical messages and operational exports.
  • Treat protected routing as one layer of the access-control strategy.

Clear answers

Frequently asked questions

Why protect contact information after a sale?

The employees delivering the work may need to communicate with the client without needing unrestricted access to the underlying contact database. A protected identity supports that separation.

Should sales still have access?

That is a business and permission decision. Sales can retain access when the role requires it, while downstream teams receive only the protected identity.

Can different teams have different permissions?

Yes. The integration can map protected identities to the employees or teams authorized for each account and update those mappings as responsibility changes.

What if the account owner changes?

Revoke the previous owner's authorization and assign the protected identity to the new owner or team.

What if an employee leaves?

Include ProxiedMail authorization removal in the offboarding workflow alongside mailbox, CRM, and identity-provider access.

Does this prevent users from exporting data from our CRM?

No. CRM export and field permissions must be controlled in the CRM. ProxiedMail reduces exposure in the email workflow but cannot override access granted elsewhere.

Can this be triggered automatically from our CRM?

Yes. A CRM workflow, webhook, or custom integration can call the ProxiedMail API when a deal closes or ownership changes.

Will clients notice that ProxiedMail is routing the message?

In employee-to-client deployments configured to preserve the company sender identity, clients see the authorized company employee as the sender and continue reading and replying as usual. ProxiedMail handles the protected identity and routing behind the company’s workflow. The exact visible address depends on the sender-domain and mail-routing configuration selected for the deployment.

Who owns the client data and business communications?

Your company remains the owner of its client contact data, protected identity mappings, and business communications. ProxiedMail does not take ownership of that data; it processes the information required to provide the configured routing service. Access, retention, and infrastructure details are defined by the deployment and applicable agreement.
