Large account teams
Give selected roles a working email identity without granting every role the same contact-field visibility.
Salesforce controlled email identities ✨
Complement Salesforce permissions with company-owned masked addresses that let assigned employees and contractors communicate without requiring the original customer address in every workflow.
Salesforce already provides object, record, and field-level controls. ProxiedMail adds a routable identity layer; it does not replace Salesforce security configuration. No ProxiedMail-branded sender identity
The protected email path
The protected identity becomes the employee-facing destination. ProxiedMail translates and routes messages while the real contact remains in an authorized system.
Preserving manager@company.com as the visible sender may require company-domain DNS, sender authorization, inbound rewriting, and mail-provider routing. ProxiedMail confirms these requirements for each deployment. Customer replies are then routed back through the configured authorization workflow.
The Salesforce access problem
Salesforce field-level security can restrict Contact Email visibility, while sharing rules and permission sets control broader access. The operational question is what happens when a restricted user still needs to email the customer.
Give selected roles a working email identity without granting every role the same contact-field visibility.
Issue scoped communication access without treating an external delivery user like a permanent contact owner.
Keep routing aligned with assignments as ownership and teams change.
Direct answers for CRM teams
These are the practical access, masking, and communication questions this workflow is designed to address.
Salesforce field-level security can hide Contact Email from selected profiles or permission sets. ProxiedMail can complement that control with a working protected address, so an assigned user can communicate without revealing the restricted field.
Use Salesforce field-level security, object permissions, sharing, and export controls for the CRM record. Add ProxiedMail only as the controlled communication layer, with authorization synchronized to account or territory assignments.
The implementation is scoped around your CRM, email provider, access model, and company-domain routing requirements.
Step 1
Step 2
Step 3
Create protected identities for selected contact sets through the REST API or a controlled migration.
Use a company-owned domain or dedicated subdomain so the protected address fits your business identity.
Keep employees in familiar corporate email clients when the provider and routing design support the deployment.
Route employee messages to the real customer and return replies through the configured protected workflow.
Reassign or disable routes when an employee, contractor, owner, or account team changes.
Connect record, lifecycle, assignment, and offboarding events through REST APIs and webhooks.
Give routine users a usable communication route without unnecessarily exposing the original address.
Add a routing layer without requiring the whole team to migrate to another email application.
Custom integration approach
Salesforce APIs and automation can participate in a custom integration that creates a protected address, stores the mapping, and reacts to assignment changes. Security review, API-user permissions, secrets management, and sandbox testing belong in the implementation plan.

This is not an AppExchange or official Salesforce package. Native email actions may require original-field visibility, so each sending workflow must be tested.
Practical use cases
Give servicing roles controlled communication paths while relationship owners retain privileged contact access.
Authorize customer email for an assignment and revoke it when the work order or contract ends.
Reassign protected routes alongside accounts without changing the customer’s normal reply behavior.
Bulk-map selected contacts while source orgs and permission models are consolidated.
Clear answers
No. Salesforce field-level security, object permissions, record sharing, and export controls remain the primary controls inside Salesforce. ProxiedMail complements them with a working protected email route.
A custom integration can listen for the relevant owner, account-team, territory, or status changes and update ProxiedMail authorization. The exact Salesforce automation pattern is architecture-specific.
No AppExchange package is claimed on this page. The proposed workflow uses ProxiedMail’s existing email infrastructure with custom Salesforce integration.
Yes, when Salesforce, the source record, and the email-routing workflow are configured so ordinary employees receive only the protected identity. ProxiedMail does not remove copies exposed elsewhere.
In a deployment configured to preserve the company sender identity, the customer sees the authorized employee’s company address rather than a ProxiedMail-branded sender. This requires appropriate sender-domain, DNS, authorization, inbound rewriting, and provider routing configuration.
Yes. A controlled migration can create mappings through the ProxiedMail API and retain Salesforce record identifiers. Batch limits, duplicate handling, failures, and permissions need a migration plan.
Usually, yes. No migration to a separate email client is mandatory, but the customer’s mail provider, sender domain, authentication, routing, and CRM email-capture behavior must support the chosen design.
The offboarding workflow can revoke that sender’s authorization and reassign the protected route. CRM, identity-provider, mailbox, export, and device access must also be removed through the company’s normal controls.
Not always. The protected identity can be stored in a dedicated field, a related object, middleware, or an authorized internal interface. The best option depends on how Salesforce identifies contacts and drives automation.
This page does not claim a native or official Salesforce application. ProxiedMail’s email infrastructure, REST API, and webhooks exist today; the CRM connection described here would be custom-scoped and configured.
Existing activities, Enhanced Email records, archived messages, exports, and synced mailbox history are not retroactively masked. Review which historical surfaces remain visible and test any automation that expects Contact Email.
No. It reduces exposure of real email addresses in the configured workflow. It cannot protect addresses already present in exports, notes, messages, attachments, phone records, spreadsheets, browser history, or other systems.
